The Opportunity:

Step into the role of Project Coordinator at one of WSP's client office in Toronto and become a vital member of the Rail & Transit team. Reporting directly to the Manager, you'll play an essential part in facilitating and supporting project execution. This position involves monitoring and coordinating a variety of project functions throughout all phases-engaging with stakeholders, preparing important documents such as business plans and charters, and participating in site visits to assist the Project Manager and Senior Project Engineers.

What you can expect to do here:
  • Distribute project information promptly to all stakeholders and maintain up-to-date document logs to ensure seamless communication and organized records.
  • Oversee the document management system by tracking submissions, sending reminders, retrieving documentation, and training team members on best practices.
  • Coordinate and facilitate project meetings, including scheduling, drafting agendas and minutes, distributing follow-ups, and ensuring action items are addressed.
  • Prepare and review project reports, correspondence, and submissions, ensuring all documentation aligns with company standards and client requirements.
  • Support project planning and execution by developing schedules, cost and quality plans, tracking progress, and providing timely updates on milestones and changes.
  • Monitor project performance and quality, maintain issue logs, recommend improvements, and provide administrative support to project managers as needed.

What you'll bring to WSP:
  • A Bachelor's Degree in Engineering or a relevant discipline.
  • At least 5 years of experience managing large-scale projects in the Transportation Industry.
  • Experience working in the public sector (TTC, Metrolinx, City of Toronto) would be considered an asset.
  • Skilled in financial management, cost control, project administration, document control, and delivery of professional services.
  • Strong team collaboration, people management, negotiation, problem-solving, adaptability, and ability to prioritize tasks under pressure.
  • Excellent communication skills; proficient in Word, Excel, PowerPoint, Outlook, Visio, and familiar with MS Access.
