Job Overview

We are seeking a highly organized and proactive Virtual Assistant to support our team with a variety of administrative and clerical tasks. This role offers flexibility to work remotely while ensuring smooth office operations. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management or customer service. Responsibilities

  • Manage calendar appointments and schedule meetings efficiently using Google Workspace and Microsoft Office tools
  • Handle multi-line phone systems, screen calls, and provide professional customer support with excellent phone etiquette
  • Perform data entry, filing, and proofreading to ensure accuracy of documents and records
  • Assist with bookkeeping tasks using QuickBooks and maintain financial records accurately
  • Support front desk operations, including greeting clients or visitors virtually, and managing correspondence
  • Coordinate office management tasks such as organizing files, managing emails, and maintaining office supplies
  • Provide administrative support including typing, document preparation, and report generation
  • Support personal assistant duties such as travel arrangements, reminders, and task prioritization
  • Maintain organized digital files and ensure data security protocols are followed
  • Assist with customer service inquiries via email or chat platforms, ensuring timely responses

Requirements

  • Proven experience in office management, administrative support, or clerical roles
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Experience with QuickBooks or bookkeeping is preferred
  • Excellent organizational skills with the ability to multitask effectively in a remote environment
  • Bilingual abilities are a plus for supporting diverse clients or teams
  • Exceptional communication skills including phone etiquette and customer service experience
  • Ability to manage calendars efficiently and prioritize tasks effectively
  • Previous experience as a personal assistant or medical/dental receptionist is advantageous
  • Strong organizational skills with attention to detail for proofreading and document accuracy
  • Reliable internet connection and familiarity with remote work tools such as Zoom or Slack
