Status: Full-time

Reporting to Campus Manager, the incumbent supports credit and non-credit activity on the campus by working collaboratively with the academic areas and continuing education to support seamless delivery to students and faculty. Specific duties include, but are not limited to:
  • Academic Program and Faculty support which includes:
    • Supporting the faculty hiring process (i.e. logistics)
    • Working in collaboration with Academic Officers in required academic areas to schedule classrooms for courses / programs
    • Reporting discrepancies / anomalies in the student information system (BANNER) registration and revenue reports to the Office of the Registrar
    • Coordinating and providing support to faculty for program delivery each semester
    • Communicating deadlines to faculty and Registrar timelines / processes are followed (i.e. ensuring student grades are entered into BANNER, grade appeals, mark changes, etc.)
  • Student Recruitment and Support which includes:
    • Coordinating / co-facilitating program information sessions (i.e. providing information to internal and external stakeholders on course / program requirements etc.)
    • Supporting students with the application / registration process in coordination with the Registrar's Office
    • Coordinating and participating in student orientation day and other student events
    • Monitoring admission requirements and student intake / enrollment tracking, tuition payments / student fees, liaises with the Registrar's Office and Academic areas to support the admission process and student recruitment initiatives
  • Financial Support which includes:
    • Monitoring and forecasting academic and continuing education budgets for the campus
    • Tracking changes and preparing for budget review, processing expenses and preparing purchase orders, bookstore requisitions and invoices
    • Authorizing expenditures to non-salary accounts with set limits
  • Campus Support which includes:
    • Handling logistics for program, course and service delivery
    • Representing the Campus at College / community meetings and providing input into the marketing of campus services
    • Assisting with the orientation and set up of new faculty
    • Preparing necessary payroll and human resources documentation for faculty and maintaining current contact lists of Faculty (Orangeville Campus)
  • Continuing Education Support which includes:
    • Providing customer service to all internal and external clients, notifying the Manager on issues
    • Verifying program information for the Registrar's Office and other departments, checking and ensuring registration, course / program data is correct
    • Processing documentation (i.e. financial, HR and academic), distributing promotional materials, supporting the recruitment of faculty and rehires, assisting with the annual Part-time Studies calendar as required

QUALIFICATIONS:
  • Successfully completed a two-year postsecondary diploma in a relevant field of study that may include, but is not limited to office administration
  • Three years' experience in a similar role providing customer service and administrative support to managers (preferably in an academic environment)
  • Computer skills and experience using the MS Office Suite, Student and Financial Information Systems (preferably Banner and Peoplesoft) and various databases
  • Demonstrated communication skills (oral / written)
  • Proven ability to work independently and as a team member
  • Planning, organizational and time management skills with the ability to multi-task and respond to diverse and often conflicting demands
  • Demonstrated problem solving and conflict resolution skills
  • Knowledge of college programs and training is considered an asset
  • Ability to travel and work non-traditional hours to support evening courses at the Campus and attend community/college hosted sessions on occasion as required
