What you will do
- Handle administrative tasks for Partners and teams as required, including booking travel, processing expenses, and paying invoices
- Organize and schedule meetings, examinations, and related logistics (e.g. booking boardrooms, coordinating schedules, sending invitations)
- Manage fax and mail communications, including sending, receiving, scanning, tracking, and distribution
- Liaise with other teams and vendors to manage tasks, such as copying and printing jobs, including drafting instructions, accepting deliveries of completed work, and reviewing for quality assurance
- Organize and maintain active files
- Prepare, process, edit, and proofread a range of documents, including forms, correspondence, and presentations
- Draft standard legal documents such as cover letters and affidavits of service
- Prepare legal document packages and forms for court filings, client submissions, and trial
- File and serve documents electronically
- Diarize court and other deadlines
- Send and receive documents to clients, courts, and counsel using secure file-sharing platforms
- Provide general office support and perform other duties to support the group as assigned
- College Certificate or Diploma, or equivalent combination of experience
- Minimum 2 years' experience as a Legal Assistant or similar role
- Experience in working with Federal and Ontario Courts is an asset
- Excellent attention to detail, proofreading and accuracy in documentation preparation
- A positive, enthusiastic team member who engages colleagues, partners and clients in a professional manner
- Advanced computer skills including proficiency with Microsoft Office Suite
- Excellent written and verbal communication skills in English
- Superior organizational skills with the ability to work effectively in a deadline driven environment
