We're looking for an Executive Assistant to provide advanced, highly diversified, confidential and discretionary administrative assistance, support and coordination to the Senior Vice-President of Strategy, Data & Products. The candidate will exercise initiative, efficient teamwork and professional judgment on a regular basis. This individual will have exceptional organization skills, good writing skills, strong communication skills, a keen eye for detail and must be highly skilled on PowerPoint and the preparation of presentation documents.  The ideal candidate thrives in a busy, always changing environment.
What you will do...
  • Provide a wide variety of administrative support to the SVP, Strategy, Data & Products
  • Prepares and composes correspondence, meeting minutes, memos, reports and presentations as required
  • Uses Microsoft Office - Word, Excel, Teams and PowerPoint - to compose correspondence, reports, presentations, charts, and graphs as required
  • Develops and manages the schedule, including travel arrangements, scheduling meetings, and arranging conference calls with both internal and external parties
  • Ensure all internal spending and travel policies are obeyed
  • Create and submit expense reports in Oracle in a timely matter
  • Exercise extreme discretion and diplomacy when liaising with key internal and external stakeholders
  • Collect, chase, collate and distribute weekly and monthly reports
  • Submit time and attendance approvals
  • Provide accurate word-processing support by composing and/or editing a variety of documents including highly confidential correspondence
  • Coordinates and manages special projects and events as required
  • Handles highly sensitive tasks and projects with the ability to prioritize and manage multiple projects at once
  • Files documents on daily basis (both online and offline)
  • Contributes to the coordination and management of departmental events
  • Maintains departmental daily operational workflow, including coordinating responses to both internal and external inquiries/requests
  • Miscellaneous department purchases and orders including office supplies and publications as per SVP, Strategy, Data & Products needs
  • Other administrative duties and support as assigned

  • Proven ability to work effectively under pressure in a fast-paced environment

  • Strong organizational skills with a proven ability to prioritize tasks and projects
  • Proven ability to coordinate and manage special projects
  • A high level of attention to detail, accuracy, and follow-up
  • Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information
  • Proven ability to work in a team focused environment
  • Demonstrated and proven advanced technical competence with MS Office (Word, PowerPoint, Excel) and Outlook in order to create effective presentations, documents and spreadsheets
