Job Overview
We are seeking a highly adaptable and detail-oriented Multi-Functional Operations Associate to support executive leadership, manage payroll and billing, coordinate dispatch operations, oversee case management, and ensure virtual security protocols. This role is ideal for a proactive professional with cross-functional experience across administration, finance, healthcare, and logistics.
Key Responsibilities
Executive Assistant
- Manage calendars, travel arrangements, and meeting coordination
- Prepare presentations, reports, and confidential correspondence
- Serve as liaison between executive leadership and internal/external stakeholders
- Handle sensitive information with discretion and professionalism
Payroll Clerk
- Process employee payroll accurately and on schedule
- Maintain payroll records and ensure compliance with tax regulations
- Respond to employee inquiries regarding compensation and deductions
- Collaborate with HR on onboarding and benefits administration
Medical Biller
- Submit and track insurance claims and patient invoices
- Verify billing codes and ensure compliance with healthcare regulations
- Resolve billing discrepancies and follow up on unpaid claims
- Maintain accurate patient billing records
- Dispatcher
- Coordinate scheduling and routing for field personnel or deliveries
- Monitor real-time operations and respond to service requests
- Communicate with drivers, technicians, or field agents to ensure timely execution
- Maintain dispatch logs and performance metrics
Security Personnel (Virtual Oversight)
- Monitor digital access points and ensure compliance with security protocols
- Respond to alerts or breaches in virtual systems
- Maintain logs of access, incidents, and resolutions
- Collaborate with IT and operations to enhance remote security measures
Medical Case Manager
- Manage patient or client cases from intake to resolution
- Coordinate care plans, referrals, and follow-ups
- Communicate with healthcare providers, insurers, and clients
- Maintain detailed case notes and ensure HIPAA compliance
Qualifications
- 3+ years experience across at least two of the listed domains
- Strong organizational and multitasking skills
- Proficiency in tools like Microsoft Office, Google Workspace, QuickBooks, and EMR systems
- Excellent communication and problem-solving abilities
- Ability to work independently and manage confidential information
Preferred Skills
- Experience in healthcare administration or insurance billing
- Familiarity with dispatch software and remote monitoring tools
- Background in HR or executive support
- Certifications in payroll, billing, or case management are a plus
